Dealers' Room Entry

The TitanCon 2018 Dealers' Room will form part of a combined exhibits area occupying half of the McWilliam Suite, at the heart of the convention. The exhibits area will also feature our Art Show and TitanCon Merchandise desk. The new location provides more space, a greater sense of destination to drive footfall, and overnight security essential for the expansion to a full weekend event.

Dealers' Room Hours

Move-In will take place from 9 a.m. on Saturday, 25 August.

The Dealers' Room will be open to members from 11 a.m. to 6 p.m. on Saturday, 25 August and 10 a.m. to 3 p.m. on Sunday, 26 August.

Move-Out will take place from 3 p.m. to 5 p.m. on Sunday. All Dealers must clear the room by 5 p.m. on Sunday so that we can meet our commitments to the hotel.

We will provide free parking at the Wellington Park Hotel for accepted dealers (one vehicle per dealer).

Application Process and Cut-Off Dates

You can apply for space in the Dealer's Room as follows:

  1. Applications must be submitted online using the Dealer Entry Form.
  2. The initial period for applications runs until Friday, 11 May. All applications received by this date will be given equal consideration. Any remaining unsold space will then be offered to later applicants on a first-come, first-served basis.
  3. All applications will be juried by the Dealers' Room Head. In the event that space is over-subscribed at the end of the initial application period, we may need to ask some dealers to take a reduced number of tables.
  4. We will confirm initial space allocations as soon as possible after the 11 May cut-off. For later applications we will aim to give a decision within two weeks.
  5. Payment will be requested from accepted dealers once space has been confirmed. We ask that dealers make payment within two weeks of receiving this confirmation to secure their space.

Table Pricing and Staff Arrangements

Our table configurations and rates for 2018 are as follows. All tables will come with tablecloths.

As we value your contribution to the TitanCon community, we do not require you to hold membership to the convention separately from your table hire fee. We feel this offers traders both a reasonable rate, but more importantly you are welcome to take part in the event, attend panels, workshops and enjoy yourselves.

As part of the application process dealers will be asked to specify the names to be associated with each bundled membership. These will appear on the corresponding badges to be worn at the convention. Dealers can choose to have transferable badges (e.g. "Bob's Books Staffer 1") however only one person can use a membership and be on site at any point in time.

Additional memberships may be bought through our standard membership process.

Terms and Conditions

TitanCon is run for and by science fiction and fantasy, gaming and reenactment fans. As such, dealers are expected to sell or exhibit material appropriate to this audience.

Dealers are responsible for insurance at their discretion. TitanCon accepts no liability for stock which is lost, damaged or stolen.

Dealers should note the following restrictions which will apply throughout the TitanCon Dealers' Room.


Please note that the sale of unlicensed commercial merchandise is strictly prohibited. Dealers may sell official licensed products.

The one exception to this rule are works of art. By this we mean a unique object that you have created yourself and that there is only one copy of which you are selling. If you are mass-producing multiple copies or prints of the same work of art then this would be classified as unlicensed merchandise.

These rules apply particularly but not exclusively to merchandise associated with Game of Thrones.

We reserve the right to ask any dealer to immediately remove any materials from sale if we have a reason to suspect that those materials are boot-legged, pirated or grey-market in origin.
